About the role

As a Senior Grant Projects Financial Specialist, you will support the financial management and settlement of national and international research and grant-funded projects. You will work closely with project managers from Grant Office, researchers and external funding bodies to ensure compliance with financial regulations and accurate reporting. Your work will be carried out under the supervision of the Finance Director.

What are you going to do?

The successful candidate will operationally support the finance department in the ongoing financial settlement of projects

Your key responsibilities:

1. Ongoing project settlement

Preparing draft payment applications (advance, interim, final)

Completing financial and cost reports for projects

Monitoring the implementation of project budgets, expenditures, and financial timelines

Verifying the correct allocation of costs to projects, tasks, and categories

Collaborating with accounting to ensure the correct recognition of project cost

2. Collaborating with the Grant Office team

Obtaining information from Project Managers necessary for settlement

Reconciling financial schedules and planned expenses

Supporting PMs in preparing financial data for project reports

Reporting any gaps or discrepancies in documentation

3. Supporting inspections and audits

Completing financial documentation for inspections by financing institutions and project audits

Preparing reports and explanations in accordance with received guidelines

Archiving project documentation

4. Other back up tasks within the team required in case of absences of the team members

Your profile

As our successful candidate you should have:

University degree in finance, accounting, economics, administration or a related field

Experience in financial administration and settlement (from project initiation to final reports) of grant-funded or research projects (e.g. EU, national or international grants)

Good knowledge of financial regulations related to research funding and cost eligibility rules

Ability to work independently with financial documentation

Proficiency in MS Excel

Experience/knowledge of Optima system

Strong analytical skills and attention to detail

Good command of English (written and spoken) to work and communicate within project documentation in English

Nice to have:

Knowledge of accounting systems (e.g., SL2021, CST)

Knowledge of public sector or academic finance

Familiarity with institutional or research management systems

What we offer

Sano offers a contract for employment with an attractive salary. You will benefit from:

Salary depending on experience: 13 000 – 14 000 PLN gross monthly and attractive benefits including private medical care, sports card, and additional paid holidays

Part-time employment is possible (details to be agreed upon; we are flexible and will adjust the workload to your availability and involvement in the processes)

Implementation support and cooperation with an experienced financial team

Flexible working hours

Possibility to work in a hybrid-mode – 50% of time working at the office located in a modern research facility in Kraków
